KipoProp is a property management software platform operated by AK COMPANY LLC, a New Mexico limited liability company (“KipoProp,” “we,” “us,” or “our”).
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you access or use KipoProp, including our website at kipoprop.com, our web application, related services, communications, and support channels.

1. Scope of This Privacy Policy
This Privacy Policy applies to personal information processed through KipoProp, including information relating to property managers, landlords, property owners, account administrators, team members, website visitors, tenants and occupants whose information is entered into KipoProp by our customers, vendors, contractors, maintenance providers, customer support contacts, and other individuals whose personal information may be processed through the Service.
This Privacy Policy does not apply to independent third-party websites, applications, or services that have their own privacy practices.
2. Our Role in Processing Personal Information
Because KipoProp is a business-to-business property management platform, our role depends on the context in which personal information is processed.
When KipoProp Acts as a Controller
KipoProp generally acts as a controller, business, or similar entity when we determine how and why personal information is processed for our own purposes, including account creation and administration, subscription management, billing administration, customer support, website analytics, product analytics, security, fraud prevention, technical monitoring, business operations, and communications about the Service.
When KipoProp Acts as a Processor
KipoProp customers may upload, enter, store, organize, or otherwise process information relating to their tenants, occupants, property owners, vendors, contractors, maintenance contacts, or other individuals.
For such customer-provided information (“Customer Data”), the KipoProp customer generally determines why and how the information is processed.
In these circumstances, the customer generally acts as the controller or business, while KipoProp acts as a processor, service provider, contractor, or similar entity acting on the customer's instructions.
If your information was entered into KipoProp by a landlord, property manager, property owner, employer, or another KipoProp customer, privacy requests relating to that Customer Data should generally be directed to that customer first. Where appropriate and legally required, KipoProp will assist its customers in responding to such requests.
3. Personal Information We Collect
The information we collect depends on how you interact with KipoProp.
Information You Provide Directly
We may collect information such as your name, email address, account credentials, company or organization details, user role, workspace information, subscription information, billing information, support communications, feedback, preferences, and other information you choose to provide.
Passwords and authentication credentials are handled through our authentication systems and are not intended to be stored or displayed by KipoProp in readable plain-text form.
Property Management and Customer Data
Customers may use KipoProp to process information concerning properties, rental units, tenants, occupants, leases, rent records, payment records, property owners, vendors, contractors, maintenance requests, maintenance history, tasks, notes, communications, documents, and other property-management information entered into the Service.
Customers are responsible for ensuring that they have the legal authority and appropriate lawful basis to collect, upload, use, and otherwise process Customer Data through KipoProp.
Payment and Transaction Information
KipoProp may use third-party payment providers, including Stripe, for subscription billing and other payment functionality.
Depending on the transaction, payment providers may process information such as card information, bank account details, billing information, transaction information, and payment-authentication information.
KipoProp does not generally receive or store full payment-card numbers.
We may receive limited payment-related information necessary to provide the Service, including transaction identifiers, payment status, subscription status, amounts, billing intervals, dates, and related payment records.
4. Information Collected Automatically
When you access or use KipoProp, we and our service providers may automatically collect certain technical and usage information.
This may include IP address, browser type, device type, operating system, approximate location derived from IP address, referring pages, pages or screens visited, access dates and times, application activity, authentication activity, technical logs, error information, security events, product usage information, and cookie or similar technology identifiers.
We use such information to operate, secure, analyze, troubleshoot, and improve KipoProp.
5. Analytics, Technical Monitoring, and Infrastructure
KipoProp uses selected service providers to understand how the Service performs and to maintain its reliability.
Google Analytics
We use Google Analytics 4 (GA4) to understand website traffic, acquisition sources, marketing performance, and conversion activity.
Our implementation is intended not to intentionally send Customer Data such as tenant names, lease information, full payment details, or other sensitive property-management information to Google Analytics.
PostHog
We use PostHog for product analytics to understand how users interact with important KipoProp functionality and where users may encounter friction.
Our current implementation is designed to collect selected product events rather than unrestricted behavioral recording.
KipoProp does not currently use PostHog Session Replay.
Where users are identified for product analytics, our implementation is designed to use an internal identifier and limited product attributes rather than intentionally transmitting personal details such as names, email addresses, phone numbers, tenant records, or payment-card information.
Sentry
We use Sentry for application error monitoring, debugging, reliability, and security-related technical monitoring.
Our implementation is designed to minimize unnecessary personal information and restrict sensitive data from technical error reports where technically appropriate.
Hosting and Application Infrastructure
KipoProp also relies on application hosting, database, authentication, email, infrastructure, and development-platform providers, including services associated with Lovable and related infrastructure.
These providers may process limited information as necessary to operate, maintain, secure, and deliver KipoProp.
6. Cookies and Similar Technologies
KipoProp may use cookies, local storage, SDKs, pixels, and similar technologies.
Some technologies are necessary for the operation of the Service, including technologies used for authentication, session management, security, fraud prevention, and core functionality.
Other technologies may be used for analytics, product improvement, or performance measurement.
Where applicable law requires consent before non-essential technologies are activated, we intend to provide appropriate consent choices and controls.
Users may also manage cookies through their browser settings.
Additional information may be provided through our Cookie Policy and cookie consent interface.
7. How We Use Personal Information
We may use personal information to provide, operate, maintain, secure, improve, and support KipoProp.
This includes creating and administering accounts; authenticating users; providing property-management functionality; managing subscriptions and trials; processing payments; providing customer support; responding to requests; sending transactional communications; detecting fraud or unauthorized access; maintaining technical security; analyzing product usage; troubleshooting errors; improving onboarding and product functionality; complying with legal obligations; enforcing agreements; and protecting our rights and the rights of our customers and users.
We may also send important service communications, including account verification emails, password-reset messages, security alerts, subscription notices, trial notifications, billing notifications, payment confirmations, service updates, and support responses.
Where permitted by applicable law, we may send marketing or promotional communications. Users may opt out of promotional emails through the unsubscribe mechanism included in those communications.
Opting out of marketing communications does not prevent us from sending necessary transactional, legal, account, billing, or security communications.
8. Legal Bases for Processing in the EEA and United Kingdom
Where the European Union General Data Protection Regulation (“GDPR”) or United Kingdom GDPR applies and KipoProp acts as a controller, we may process personal information based on one or more lawful bases.
Contract
We may process information where necessary to provide KipoProp, administer accounts, provide requested functionality, process subscriptions, or perform our contractual obligations.
Legitimate Interests
We may process information where necessary for legitimate interests such as securing KipoProp, preventing fraud, troubleshooting, improving the Service, providing customer support, understanding product performance, and operating our business, provided those interests are not overridden by applicable rights and interests.
Consent
Where required by law, we may rely on consent, including for certain non-essential analytics technologies, cookies, or marketing communications.
Where processing is based on consent, consent may be withdrawn at any time.
Withdrawal does not affect the lawfulness of processing performed before consent was withdrawn.
Legal Obligations
We may process information when necessary to comply with applicable laws, regulations, court orders, or legally binding requests.
When KipoProp acts solely as a processor of Customer Data, the relevant KipoProp customer is generally responsible for identifying the appropriate lawful basis for that processing.
9. How We Disclose Personal Information
We may disclose personal information to service providers and subprocessors where reasonably necessary to provide and operate KipoProp.
These providers may support functions such as hosting, database infrastructure, authentication, email delivery, payments, analytics, monitoring, security, and customer support.
Providers used by KipoProp may include services associated with Stripe, Google Analytics, PostHog, Sentry, Lovable, and related infrastructure providers.
We may also disclose information at a customer's direction when a customer uses KipoProp to share information with authorized users, tenants, property owners, vendors, contractors, or other recipients.
We may disclose information where reasonably necessary to comply with applicable law, respond to valid legal requests, protect our rights, investigate fraud or security incidents, prevent harm, enforce our agreements, or protect KipoProp, our customers, or others.
We maintain a separate Subprocessor List as part of our data-protection documentation, alongside our Data Processing Agreement.
10. Sale or Sharing of Personal Information
KipoProp does not sell personal information for monetary consideration as part of its business model.
KipoProp also does not intentionally use Customer Data for cross-context behavioral advertising.
Certain privacy laws define terms such as “sale” or “sharing” more broadly than ordinary commercial sales and may classify certain technology-related disclosures differently.
Where applicable law provides a right to opt out of a particular type of processing that applies to KipoProp, users may exercise applicable rights by contacting privacy@kipoprop.com.
We may provide additional privacy controls if required as KipoProp grows or our practices change.
11. Customer Responsibilities
KipoProp customers are responsible for the personal information they collect and manage through the Service.
Customers are responsible for complying with applicable privacy and data-protection laws, providing required notices, obtaining required permissions or lawful bases, restricting access to authorized users, and processing information only for lawful purposes.
KipoProp does not independently determine why a landlord or property manager collects information about tenants or other individuals merely because such information is stored within KipoProp.
Where KipoProp acts as a processor, our processing of Customer Data is governed by applicable agreements with our customers, including any applicable Data Processing Agreement.
12. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing the Service, maintaining security, complying with legal obligations, resolving disputes, preventing fraud, maintaining financial records, and enforcing agreements.
Account information may be retained for the duration of an active account and for a reasonable period after account closure.
Customer Data may be retained according to the customer's account status, contractual arrangements, deletion instructions, legal requirements, and backup practices.
After deletion from active systems, limited copies may temporarily remain in backup, disaster-recovery, security, or logging systems until those systems are overwritten or the applicable retention period expires.
Billing and transaction information may be retained for longer periods where necessary for accounting, tax, regulatory, dispute-resolution, or fraud-prevention purposes.
When personal information is no longer reasonably required, we may delete, anonymize, or aggregate it.
13. Security
KipoProp uses administrative, organizational, and technical measures designed to protect personal information against unauthorized access, unauthorized disclosure, alteration, misuse, destruction, or loss.
Depending on the context, these measures may include authentication controls, authorization restrictions, database access controls, encrypted communications, application security controls, security monitoring, error monitoring, payment-provider security systems, and restricted access to production infrastructure.
However, no website, application, network, database, or Internet transmission can be guaranteed to be completely secure.
Users are responsible for maintaining the confidentiality of their account credentials and should contact us promptly if they suspect unauthorized access to their account.
14. International Data Transfers
AK COMPANY LLC is established in the United States.
KipoProp and its service providers may process information in the United States and other countries. Therefore, personal information may be transferred to or processed in jurisdictions whose privacy laws differ from those in your country.
Where required under applicable law, KipoProp will seek to use appropriate safeguards for international data transfers.
Such safeguards may include, where applicable, European Commission Standard Contractual Clauses, United Kingdom-approved transfer mechanisms, adequacy decisions, contractual safeguards, or other legally recognized mechanisms.
15. Privacy Rights
Depending on where you reside and which law applies, you may have rights concerning your personal information.
These may include rights to request access, correction, deletion, restriction, portability, information regarding processing, withdrawal of consent, objection to certain processing, opt-out rights, or the right to complain to an applicable privacy authority.

Where legally permitted, authorized agents may make requests on behalf of individuals.
KipoProp will not unlawfully discriminate against individuals for exercising rights granted by applicable privacy law.
16. EEA Privacy Rights
If you are located in the European Economic Area and GDPR applies to the processing of your personal information, you may have rights including access, rectification, erasure, restriction, data portability, objection, withdrawal of consent, and the right to lodge a complaint with an appropriate supervisory authority.
Where we rely on legitimate interests, you may have the right to object to the relevant processing.
Where we rely on consent, you may withdraw consent at any time.
If KipoProp processes your personal information solely on behalf of a KipoProp customer, we may refer your request to that customer or assist the customer in responding.
If KipoProp becomes legally required to appoint a representative in the European Union, applicable representative contact information will be added to this Privacy Policy or related privacy documentation.
17. United Kingdom Privacy Rights
Where UK data-protection laws apply, individuals may have rights including access, correction, deletion, restriction, portability, objection, withdrawal of consent, and the right to complain to the UK Information Commissioner's Office or another competent authority.
If KipoProp becomes legally required to appoint a representative in the United Kingdom, the representative's contact information will be made available through this Privacy Policy or related documentation.
18. United States State Privacy Rights
Residents of certain U.S. states may have additional privacy rights depending on applicable law and whether KipoProp meets the relevant statutory thresholds.
These rights may include access, correction, deletion, portability, information regarding data-processing practices, opt-out rights concerning certain sales, sharing, targeted advertising, or profiling, and the right to appeal certain privacy-request decisions.
California Residents
If the California Consumer Privacy Act, as amended (“CCPA”), applies to KipoProp and your information, California residents may have rights including the right to know, access, delete, correct, opt out of qualifying sales or sharing, limit certain uses of sensitive personal information where applicable, and exercise their rights without unlawful discrimination.

19. Canadian Privacy Rights
Individuals in Canada may have privacy rights under applicable federal or provincial laws.
Depending on the law applicable to the processing, individuals may be entitled to request information about our privacy practices, request access to personal information we maintain, request corrections to inaccurate information, withdraw consent where applicable, or raise concerns regarding our handling of personal information.

20. Automated Decision-Making
KipoProp does not currently use personal information to make solely automated decisions that independently produce legal or similarly significant effects on individuals.
KipoProp customers remain responsible for decisions they make based on information stored or managed through the platform.
21. Children's Privacy
KipoProp is a business property-management platform and is not directed to children.
We do not knowingly permit children to create independent KipoProp business accounts.
KipoProp customers may process information concerning household members or occupants, including minors, where such information is lawfully necessary for legitimate property-management purposes.
In such circumstances, KipoProp generally processes that information on behalf of the customer, and the customer remains responsible for ensuring that the collection and processing are lawful.

22. Third-Party Services and Links
KipoProp may integrate with third-party services or provide links to third-party websites.
Third parties operate independently from KipoProp and may have their own terms and privacy policies.
This Privacy Policy does not govern personal information processed independently by third parties.
We encourage users to review third-party privacy policies before providing information to them.
23. Business Transfers
If KipoProp or AK COMPANY LLC is involved in a merger, acquisition, financing, restructuring, reorganization, sale of assets, sale of the KipoProp business, bankruptcy proceeding, or similar corporate transaction, information associated with KipoProp may be reviewed, transferred, or acquired as part of the transaction.
Where applicable, we will take reasonable steps to ensure that personal information continues to receive appropriate protection and that legally required notices are provided.
24. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to KipoProp, changes in our service providers, new functionality, changes to our data practices, or legal and regulatory developments.
When we update the Privacy Policy, we will revise the “Last Updated” date shown at the top.
Where changes are material and applicable law requires additional notice, we may notify users through the KipoProp Service, by email, or through another appropriate method.
